Setup fee plus monthly, or one-off: which is better for a small business?

The two models are usually presented as a pricing preference. They are actually a question about who is responsible for the site in month fourteen.

What does each model actually cost?

A worked example, in US dollars. A five-page site quoted one-off at $4,000, against a setup fee of $1,800 and $249 a month.

The one-off row is incomplete on purpose, because "+ upkeep" is the part people forget. Hosting, the domain, an SSL certificate and platform updates are somewhere between $150 and $500 a year depending on what the site is built with, and every change is billed separately or done by you.

When is one-off the right answer?

• You or somebody on your team is comfortable managing hosting and updates.
• The site genuinely will not change — a single-page site for a business whose details are stable.
• You have the cash and would rather not have another monthly bill.
• You want the freedom to take the site to a different developer without a conversation.

When is setup plus monthly the right answer?

• Nobody at the business wants to think about a website again.
• The content changes — a menu, prices, seasonal services, staff.
• You would rather spend $1,800 now than $4,000 now.
• You want somebody to notice when the site goes down, rather than finding out from a customer.

What should you check before agreeing to a monthly fee?

1. Who owns the domain? It should be registered in the business’s name, not the developer’s.
2. Who owns the files and the content? You should, and it should be written down.
3. How many changes are included, and how fast? A number and a turnaround, not "ongoing support".
4. What is the minimum term, and what is the notice period?
5. What happens on cancellation? You should get the files and the domain, not a dead site.

A developer who answers those five clearly is offering a service. One who is vague on any of them is offering something closer to a lease, and you should price it accordingly.

Is there a middle option?

Yes: pay one-off for the build, then a smaller monthly fee for maintenance only, with changes billed hourly. It suits a business whose site rarely changes but which still does not want to manage hosting. It is worth asking for, and most people who offer a monthly plan will do it.

Is a monthly fee just renting a website?

It should not be. If you cannot leave with the domain and the files, it is a rental and it should be priced like one. Ask the question directly before you pay anything.

What is a reasonable monthly fee for a five-page site?

Roughly $80 to $200 a month, depending on how many changes are included. Under $50 usually means hosting only, with changes billed on top.

Can I switch from monthly to one-off later?

Usually, yes — you pay out the remaining build value and take over the site. Worth asking whether that is possible before you start, because the answer tells you a lot about the arrangement.
